IPY related publication, project and grey literature databases  (IPY related publication, project and grey literature databases)

Outline
The goal is to build up databases in each IPY country and to organize joint rules for material and information collecting. Databases will cover IPY realted publications, projects and historical “grey literature”. Databases will be linked to IPY www-sites and are available through IPY portals and are open and timely accessed. Datebases will be recorded with same format and searching can be done from several data bases at the same time. In each IPY country there should be one contact person for information collecting. Also there are needs to coordinating collecting, storing and dissemination IPY related information, planning of a cooperative information provision framework and rules of information provision. The goal is also to ensure that information collected and produced under the IPY is made available openly for the public. Databases: - Publication database would contain descriptions of all publications that result from the forthcoming IPY Program. - Project database lists all IPY related projects. The Registers in each country may contain information on all major public research projects and expeditions. -Grey literature database would intensify the recovery of relevant historical IPY information. That information would be located and transform to digital form.

Project will be information rescue and digital preservation effort. It can be extendedn to all IPY themes.

Intensify cooperation with the Polar and Barents Libraries cooperation with IPY related issues

How will the project be organised and managed?
In each IPY country there should be one contact person for information collecting. Coordinating of collecting, storing and dissemination of IPY related information, planning of a cooperative information provision framework and rules of information provision will be discussed later. The project ideais at very preliminary stage, we wish to have opinions form other countries.

What are the initial plans of the project for addressing the education, outreach and communication issues outlined in the Framework document?
Dissemination of publications, projects and literature is one part of IPY outreach, communication activities and promoting development.

What are the initial plans of the project to address data management issues (as outlined in the Framework document)?
The software and technical part of the project can be solved together with data management issues.

How is it proposed to fund the project?
At this stage each participating library and information service is reponsible of own expenses. External funding will e applied.
